Why You Need Regular Business Planning Sessions


Great business leaders know: you have to pause and review your numbers if you want to grow.


Set aside time monthly or at least once per quarter to:

  1. Gather your business performance stats.

  2. Review what's working and what’s not.

  3. Set S.M.A.R.T. goals—goals that are Specific, Measurable, Achievable, Relevant, and Time-bound. (Do this with your mentor and key business leaders)

  4. Build a short list of goals (we suggest 3 to 5) for the upcoming quarter (3-month cycle).

These goals should focus on removing your biggest business bottlenecks—your weak spots that are slowing you down.

What Data You Should Have On Hand

Before setting your goals, make sure you have key business data prepared. For parkour gym owners specifically, here are the most important things to track:

Marketing & Sales Metrics:

  • Number of new leads coming in

  • Cost per lead (how much you're spending to get a new lead)

  • Trial class booking rate (what percent of leads book a session)

  • Sales velocity (how many new members are signing up per month)

Member Retention:

  • Monthly churn rate (how many members leave each month)

  • LEG – Length of Engagement (how long members stay on average)

  • Lifetime Gross Profit – how much profit each member brings over their time with you

Team Health:

  • Team morale – is the team energized or feeling burned out?

  • Bandwidth – do they have the capacity to take on new tasks, or is it time to hire or train more?

Financial Health:

  • Monthly revenue

  • Monthly expenses

  • Net profit

Even if you're not great with numbers, tracking these basics gives you powerful insight into how your business is doing—and what to do next.

Use These Stats To Guide Your Goals

Once you have your data, use it to set clear goals.


If your LEG is low, make retention a priority. If your trial booking rate is low, focus on improving your lead follow-up or your first visit experience. If your team is maxed out, a training or hiring goal might be best.


At Motion Mentors, we recommend you limit your goals each quarter to 3–5, and never more than 7. Fewer goals mean more focus and better results.


Also, take a look at what’s on your plate. If any task or project doesn’t support your current goals or smooth operations, drop it. Say no. Focus is everything.

You don’t need to overhaul your whole business this week. But you do need to begin collecting and reviewing your business stats regularly. Make this a part of your monthly rhythm.


Then, use these stats to plan smarter with your fellow decision-makers. Sit down each month or quarter and ask: “Based on the numbers, where do we go next?”
